Expansive Solutions are pleased to announce we have been selected by Arena Racecourses to be their FM digital partner. The three-year CAFM contract with ARC will dovetail with a wider digital transformation project taking place across their organisation.

ARC operates 20 venues across the UK, welcoming 1.2m visitors to 500 fixtures and entertainment events every year. Their complex estate encompasses 16 racecourses, 4 greyhound stadia, hotels, golf courses, restaurants and a pub. 

Expansive's CAFM platform will centralise operations

The group will use the Expansive CAFM platform to centralise all their FM operations; increasing visibility and control over work orders, asset maintenance, compliance and supply chain management. 

Commenting on the new partnership Dan Walley, Head of Property and Facilities at ARC, said:

Until now FM for each venue has been executed separately and digital records have been fragmented across different systems and Excel sheets. This was holding us back. 

Dan described the specific challenges that faced ARC as they first looked to streamline their FM operations:

'In terms of maintenance, we dealt with everything on a site by site basis. Each site was doing things differently. We wanted to standardise that approach and centralise our data to understand what was happening on the ground.  We also wanted to understand what we were spending and why, because it sometimes seemed we were repairing things three or four times, when just one engineer visit would suffice.”

 

Data driven facilities management with Expansive FM

These were the original pain points that sent Dan and the team looking for a CAFM partner, and what bought them to Expansive:

'With Expansive FM we now have the software to manage contractor relationships much more effectively.  We’re able to improve communications, establish KPIs and optimise performance. It will make the management of our entire estate and our suppliers much more streamlined and efficient.'

Working with suppliers to improve KPIs is a key objective here:

Because best value is not necessarily about quoting the best price. It’s about whether contractors are hitting the key metrics: time to respond, time to attend, time to fix, and FTF.  That is ultimately the measure of what they’re bringing to the business’
