From emails and spreadsheets to global visibility - in one system!


When Kevin stepped into the role, there hadn’t been anyone managing FM for around nine months. Work was overseen reactively, “Is it an emergency? Does it need to be fixed?”

At the start, there weren’t even basic controls in place:

  • Contractor requests were sent via email to helpdesks
  • Visibility of spend was limited - Kevin introduced an Excel PO tracker just to understand what was happening
  • Compliance paperwork lived on a shared drive, with no alerts, no easy link to invoices, and lots of manual checking

Why make the move to a CAFM now?

A big driver for change was the need for structure and visibility, especially as the business transitioned from founder-led to private equity where budgets, reporting and control matter a lot more. Kevin needed to move from “searching through emails” to being able to answer questions quickly:

Ultimate Performance evaluated five or six CAFM platforms during the tender process. Three requirements were non-negotiable.

Implementation: Live Across the UK in 10–12 Weeks

The rollout was structured around a full UK launch rather than a phased pilot, with European and US sites following. The implementation took between 10 and 12 weeks from kick-off to going live, a timeline Kevin describes simply as "so easy and simple."

The primary challenge wasn't the platform; it was the data. Ultimate Performance had no existing asset register, and the scope of what fell under FM's remit hadn't been fully defined. In some cases, assets were discovered to have been unmanaged for months simply because their responsibility hadn't been established. Building out the asset list from scratch became the foundational piece of work that now underpins the platform's value.

With the UK live, the rollout has since extended to Amsterdam and the Americas. Dubai, Singapore, and Australia are currently being onboarded, with full global coverage expected by the end of the calendar year.

In preparation for a property and facilities meeting, Kevin pulled reporting on repeat issues (blocked toilets at a specific site), including frequency and cost, exporting the insight into a pack for stakeholders - quickly and without manual work.

With the asset register now established and the platform live across the UK, Europe, and the Americas, Ultimate Performance is turning its attention to the next phase: asset lifecycle management.
